Reading mail, searching & Trash
Reading mail
Pick a mailbox on the left, then a message from the list. Opening a message marks it read; unread messages are shown in bold. Each mailbox has:
- Inbox — mail that's arrived.
- Sent — mail you've sent from that address.
- Junk — mail SendGrid scored as likely spam, if this instance has spam checking on (see Folders, filters & auto-reply). No push notification for anything here.
- Starred — a filter across every folder, not a folder of its own.
- Trash — deleted messages (see below).
- Any custom folders — anyone with access to the mailbox can add, rename or delete one (see Folders, filters & auto-reply).
Switching folders on a phone
On a phone, the folder list on the left is hidden once a mailbox is open — there's room for only one pane at a time. Instead, the message list's header shows a button with the current folder's name and its count (for example, "Inbox 3"). Select it to open Switch folder, which lists Inbox, Sent, Starred, Junk, Trash and any custom folders, each with its own count — select one to jump straight to it, including Trash and Junk. That same sheet has a New folder… box at the bottom — type a name and select Add to create one, so you don't need to go back to a wider screen for that.
Searching
Use the search box at the top of the page to search every mailbox you can see at once. Type plain words to match the subject, body or sender, or narrow it down with:
from:someone— sender contains "someone"to:someone— recipient contains "someone"subject:word— subject contains "word"has:attachment— only messages with an attachmentis:unread— only unread messagesis:starred— only starred messagesin:folder— only messages in a specific folder (inbox, sent, junk, trash, or a custom folder's name)
You can combine them, for example from:billing has:attachment invoice.
Starring
Select the star next to a message — in the list or while reading it — to mark it. Select Starred in the sidebar to see every starred message across all your folders.
Moving and deleting
- One message: select the ⋮ (more options) button on its row, or right-click the row on a desktop, to move it to a folder or delete it. Inside Trash, that same ⋮ button offers Restore and Delete forever instead.
- Several messages: tick their checkboxes, then use the toolbar at the top of the list — Delete, Mark Unread, Mark Read, or Move to a folder.
- Deleting moves a message to Trash; it isn't gone yet.
- On a phone, deleting a message (or marking it unread) shows a confirmation in place of the message with a Back button, to return to the list.
Trash
Deleted messages sit in Trash until you restore or delete them for good — or until the retention period passes, if this instance has one set:
- The default is 30 days — Trash shows a note at the top of the list with however many days this instance actually uses, since an operator can change that number (or turn the timer off entirely, in which case nothing is deleted automatically and the note doesn't appear).
- From Trash, the row toolbar's delete button changes to Delete forever, and an Empty trash button is also offered.
- Moving a message out of Trash (the ⋮ menu, or bulk Move to) restores it to Inbox or another folder.
Attachments
Open a message to see its attachments and download them individually. Attachments stay available for as long as the message does — they're only gone once the message itself is deleted (or, rarely, if the file is actually missing on the server).
Sending tops out at 25 MB of attachments on one message (see Writing & replying). Incoming mail can be a bit larger — SendGrid, the mail service this app receives through, accepts incoming messages up to about 30 MB including attachments; a message over that may be refused before it reaches this app at all.
Downloading mail
- A single message: while reading it, select the download icon to get it as a
.emlfile you can open in any mail program. - A whole mailbox: your account owner or domain manager can download every message in
a mailbox as a
.zipof.emlfiles — see Mailboxes.
